How I use notion app to organize my Entire life
When I first started using Notion, I didn’t intend for it to become the backbone of my entire life. I was simply looking for a tool that could handle my work projects and personal tasks without overcomplicating things. But as I dug deeper into what Notion could do, I found myself gradually organizing everything—my work, hobbies, and even my grocery lists—within this one platform.
Here’s how I use Notion to stay organized without losing my mind.
The Setup: One Place for Everything
At first, I used separate apps and tools for different aspects of my life. But switching between them became a hassle. With Notion, I have a centralized space that contains all my thoughts, tasks, and ideas. Everything I need to reference is just a search away.
I keep it simple— Just clean pages organized by category:
- Work: This includes my ongoing projects, writing drafts, and tasks.
- Personal: Here, I track my habits, plan vacations, and manage my budget.
- Learning: This space holds my reading list, course notes, and ideas I want to explore.

Daily Planning: One Page to Rule Them All
Each morning, I start with my Daily Page. It’s a straightforward layout—date at the top, and below that, I list my tasks, meetings, and any thoughts I have for the day. I don’t follow any complex productivity frameworks. It’s just a simple to-do list, prioritised by what needs to get done first.
This is what my Daily Page looks like—a straightforward list to keep me on track."
Personal: A Place for Everything Else
Outside of work, Notion helps me manage the chaos of life. My personal space is divided into a few key areas:
- Habits: I keep track of habits I’m trying to build—nothing fancy, just a checklist of daily habits like drinking water and reading.
- Budgeting: I use a simple table to track my income and expenses. It’s not as powerful as dedicated budgeting software, but it gives me a clear picture of where my money is going.
- Notes: This is a catch-all for random thoughts, ideas, and things I want to remember.
Learning: A Space for Curiosity
Notion is also where I store all the things I want to learn. I have a page for books I want to read, articles I want to revisit, and online courses I’m taking. This is my go-to space when I have some free time and want to dive into something new.
The Key: Keep It Simple
What makes Notion work for me is its simplicity. I don’t try to use every feature or add unnecessary complexity. My system is basic, but it’s reliable. It’s easy to get caught up in creating a perfectly designed workspace, but what really matters is whether it helps you get things done.
If you’re feeling overwhelmed with managing your life, I recommend giving Notion a try. Start small—create a simple to-do list or a space to store your notes. Once you get the hang of it, you’ll find that it can handle much more.
